Author Guidelines
Cover Letter
A cover letter is not necessary, but may be sent at the discretion of the author(s). You can type the text for such a letter in the “Comments for the editor” box at the bottom of Step 1 of the submission process, or you can send it via email directly to Dr. Bhargava.
Manuscript Layout
Acceptable submission file formats include Microsoft Word, Open Office, RTF, and plain text.
The text should consist of the following sections:
- full title page
- blind title page
- short abstract
- key words
- case report
- discussion
- references
Full title page: Includes the full title of the case report; names, academic/medical degrees, affiliations, and email addresses of all authors. The corresponding author should be clearly identified, with present address and telephone number. (This page will be removed from the manuscript before it is sent to reviewers.)
Blind title page: This is included after the title page. It contains only the title of the case report (without the authors’ names or affiliations). This page will be used in the review process.
Abstract: This should succinctly summarize the main points of the case report. Do not include abbreviations or references in the abstract.
Key words: Please include a few key words for indexing.
Case report: This section contains the details of the case, including the patient’s history, physical exam, pertinent laboratory values, imaging findings, surgical results, and pathology findings. Explain in detail how the diagnosis was confirmed.
Discussion: Explain the unique aspects of your case report, and define its significance, if any, to clinical practice.
References
- Number references consecutively in the order in which they appear in the text.
- Cite all references in the text by number, enclose the numbers in parentheses, and type them on line with the text (that is, not superscripted).
- Do not cite unpublished data in the reference list, but you can cite it parenthetically in the text. For example: (Smith DJ, personal communication), (Smith DJ, unpublished data). This includes papers submitted, but not yet accepted, for publication.
- Do not cite papers presented at a meeting in the reference list; instead, cite them parenthetically in the text. For example: (Smith DJ et al., presented at the 2003 annual meeting of the American Roentgen Ray Society). After the first mention, use (Smith DJ et al., 2003 ARRS meeting).
- Use inclusive page numbers (for example, 333–5) for all references.
- Abbreviate journal names according to Index Medicus.
- You must include the unique PubMED ID number (PMID) for all journal references. If a PMID is not available for an electronic reference, use the Digital Object Identifier (DOI) instead. If a DOI is not available, then use the URL and last date of access. Note the exact format of the PMID number, which has no spaces in it: for example, PMID:345544.
- The style and punctuation of references follow the format illustrated in the following examples. (All authors are listed when six or fewer; when seven or more authors, the first three are listed, followed by et al.)
Journal articles follow the style used by the National Library of Medicine:
1. Rich TA, Schiller A, Suit HD, Mankin HJ. Clinical and pathologic review of 48 cases of chordoma. Cancer. 1985 Jul 1;56(1):182-7. PMID:2408725
Book
2. Smith LW, Cohen AR. Pathology of tumors. 6th ed. Baltimore, MD: Williams & Wilkins; 1977:100–109.
Chapter in a book
3. Breon AJ. Serum monitors of bone metastasis. In: Clark SA, ed. Bone metastases. Baltimore, MD: Williams & Wilkins; 1983:165–180.
Illustrations
You must upload each illustration in high-resolution format as an individual supplementary file in step 4 of the submission process. When you are asked for “Supplementary file metadata,” type a title for each image and then click “Save and continue.” Other metadata is currently optional. Once you have entered all illustrations and their metadata, click “Save and continue” one final time to move on to step 5 of the submission process.
If your paper is submitted in Microsoft Word or Open Office format, you should also include reduced-size versions of the images in the body of the manuscript text. Note, however, that including these images in the manuscript does not substitute for submitting each graphic as a standalone file.
Submit all static illustrations in JPG (maximum quality) or TIFF format. Radiographic images or digitized film images should be no smaller than 1000 x 1000 pixels, but may be larger. Digital diagnostic modalities (that is, CT, MR, or US) may be submitted in their native size and resolution.
If your illustration includes multiple films, submit each one separately. Do not create a file with multiple films side by side or stacked.
Do not submit images in PowerPoint format; image degradation in this format is severe.
If you want to include arrows, asterisks, labels, or other additions to the images that point to or explain features of interest, submit an additional copy of each of these files without any markings, so that the copyeditor can duplicate these markings according to RCR style.
Crop mages to show only the features of interest, and apply any appropriate window and level settings. Remove any patient and institutional identifying information. Any other alteration of images must not change the diagnostic information contained within it.
Audio or video files that enhance the understanding of the case may also be submitted as supplementary files.
Tables
- Give each table a short, descriptive title, and put a heading on each column.
- Tables must not exceed two pages in length, and they must contain at least four lines and two columns of data.
- Number tables in the order in which they are cited in the text. All tables must be cited in the text.
- Define abbreviations in an explanatory note below each table.
- Make sure that tables are self-explanatory and that they do not duplicate data given in the text or figures.
- Be sure to double-check all arithmetic (percentages, totals, differences) for accuracy, and check also that tabular data agree with data given in the text.
- Prepare tables in MS Word format, or by entering data across the row (or horizontally) divided by tabs, with a return at the end of each row.
Submission Preparation Checklist
As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.
- The submission has not been previously published, nor is it before another journal for consideration (or an explanation has been provided in Comments to the Editor).
- Acceptable submission file formats include: Microsoft Word, Open Office, RTF, and plain text.
- All URL addresses in the text (for example, http://pkp.sfu.ca) are activated and ready to click.
- The text is single-spaced; uses a 12-point font; employs italics, rather than underlining (except with URL addresses); and all illustrations, figures, figure legends, and tables are placed at the end.
- Any films or other graphics are submitted as standalone files that follow the standards outlined in the Author requirements.
- The text adheres to the stylistic and bibliographic requirements outlined in the Author Requirements, which is found in About the Journal.
- Protection of Human Subjects: Retrospective preparation of case reports generally does not fall under the purview of Institutional Review Boards, but you should confirm this with your institutions. Be sure to protect the identities of individual patients.
